Office Furniture Maintenance

Office furniture and fixtures are a significant investment for any business.  Proper care and maintenance is necessary to make sure that they last as long as possible.  Following are some tips on how to keep your office furnishings in top shape.
1.     Leather care
If your office furniture includes leather office chairs, consider them a top priorities as leather needs to be well maintained in order to last.  Keep all leather items out of direct sunlight as it can damage the material.  Purchase cleaning solutions that are specifically designed for leather surfaces and give your chairs a treatment every three to six months.

2.    Wood or laminate furniture
Most wood furniture and all laminate furniture has already been treated making it easy to care for by simply wiping with a damp cloth and gentle cleansing solution.  If you have any untreated wood furniture, use wood treatment oils regularly to maintain the appearance of the furniture and to prevent cracking.  Invest in drink coasters to prevent stains on the surface of any wood office furniture as these can be difficult to remove later on.

3.    Practice clean desk policy
Keeping a clean desk is important to allow cleaners to be able to clean and to prevent accumulation of dust in the workplace.  Encourage your employees to practice a clean desk policy.  Provide storage and filing systems for employees to store paperwork.  Reducing clutter on desks increases your employees’ productivity as they are able to spend more time on their jobs instead of looking for misplaced documents. Desk mats can be useful to prevent scratches on the surface of an office desk.  Employees should also be discouraged from eating at their desks to prevent food stains that will be difficult to remove.

4.    Report and rectify defect
If you or your employees notice a defect when you sit on your office chair or use a piece of office equipment, have a process for them to report it immediately to the person responsible in your organisation for maintenance.  Any defect in office furniture should be fixed immediately to ensure employee safety and prevent further damage.

5.    First impressions count
Your reception area is the first thing visitors and clients see from which they will make many other assumptions about your business. Invest in quality signage. Ensure your reception furniture is not worn-out or outdated.  Visitor seating such as sofas and visitor chairs must be kept clean and upholstery must be free of holes.  Coffee tables and reception desks must be well-polished and free of stains.  Remember that the reception area heavily influences a visitor’s first impression so make sure that it looks appealing and professional at all times.

Some final tips

You may wish to consider professional furniture cleaning services to care for your office furniture or ask your cleaners if they can add this to their list of responsibilities.

Preventative maintenance of your furniture will make it last much longer and help your employees remain proud of their workplace.
